About the Opportunity
Our client is a leading investment management firm with centers in North America, Asia and Europe. They are actively hiring an Executive Receptionist to welcome and direct visitors in their Connecticut office, and serve as their Director of First Impressions. This position will ensure that clients are provided with the highest level of hospitality, while utilizing a computer-based, multi-line telephone system to answer and direct calls in a pleasant, professional manner. The right individual for this position will perform a variety of general office management functions including filing, administrative tasks, mail and courier handling, setting up meeting reservations and working together with the other administrative team members to accomplish goals.
The base pay for this position is $30 to $40 per hour. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Job Responsibilities
- Answer and direct all incoming calls to the correct party. When necessary, transfer warm calls to appropriate business groups, provide information and guidance as appropriate. Provide phone coverage for Executives as needed
- Welcome, meet, direct, and interact with all levels of clients, visitors, employees, vendors and other guests. Provide a high level of professional hospitality.
- Ensure the front reception area is covered at all times. Proactively coordinate day-today activities and guest manifest
- Manage the scheduling calendar(s) for conference rooms and visitor offices. Ensure that conference rooms and visitors’ offices are maintained on a daily basis
- Place catering orders for meetings as requested. Maintain a record of all catering orders placed by other expected for each day and confirm catering as appropriate each day
- Provide loaner badges to employees and short-term guests maintain security log and guest manifest
- Assist the executive assistants from time to time in the compilation, preparation and distribution of special projects label management contact management and other light administrative responsibilities
- Involving not required – willing to train
- Provide support to mail room, including accepting packages, print room storage supplies and additional mailroom support
Job Requirements
- 5+ years of recent reception experience
- Strong computer skills essential (Word, Excel and PowerPoint)
- Strong and engaging interpersonal skills
- Maintain confidentiality
- Strong client service orientation
- Exhibits initiative and a proactive approach to responsibilities
- Reliability, with flexibility to work extended hours as needed
- Organized administrator and with excellent follow up on projects/assignments
