About the Opportunity
Our client, a leading global real estate advisory firm, is seeking a Broker Administrative Specialist to join their dynamic team in New York, NY. The base pay is $35 to $40 per hour. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Job Responsibilities
- Take initiative in identifying and addressing the needs of both the internal team and external clients
- Draft and prepare a range of business documents, including proposals, reports, invoices, and general correspondence
- Write and edit communications with attention to confidentiality, ensuring accuracy in grammar, spelling, and punctuation
- Assist in the creation and design of visually appealing presentations and reports using PowerPoint—often under tight deadlines
- Compile property surveys and tour packets by gathering key data from internal and external sources
- Keep client and prospect databases current and organized for the assigned brokerage team
- Track important tasks and timelines to ensure projects and deliverables are completed on schedule
- Manage and regularly clean up digital and physical files associated with active and archived client accounts
- Provide day-to-day administrative support including organizing meetings, booking travel, and processing expense reports
- Support research initiatives, gather data, and assist with ad hoc projects as requested by team members
Job Requirements
- Bachelor’s degree in business or a related field is preferred; comparable work experience will also be considered
- At least three years of experience in a professional support role, ideally assisting multiple team members; background in real estate is a plus
- Demonstrated ability to manage a high volume of tasks efficiently and independently
- Excellent organizational skills combined with strong verbal and written communication abilities
- Meticulous attention to detail with the flexibility to adapt quickly to changing needs and priorities
- Proven success working collaboratively within a team setting
- Strong editing and proofreading skills to ensure accuracy and professionalism in all materials
- High proficiency with Microsoft Office tools including Word, Excel, PowerPoint, and Outlook
- Self-motivated and resourceful, with the ability to manage multiple tasks and deadlines effectively
- Experienced with the full Microsoft Office Suite
- Skilled in using email and contact platforms such as Outlook, along with CRM and communication tools including Salesforce and Slack
- Familiar with digital design tools such as Adobe InDesign (a plus) and Acrobat
- Comfortable working with commercial real estate databases and listing services such as CoStar, LoopNet, and AIR
- Knowledge of social media platforms and marketing systems is a plus
