Office Manager

About the Opportunity

Our client is a healthcare organization that is seeing an Office Manager to join their team in King of Prussia, Pennsylvania. The Office Manager will play a key role in ensuring the smooth and efficient functioning of a busy podiatry office. This individual leads the administrative team, oversees daily operations, and cultivates a welcoming environment for patients and staff alike. As the primary point of contact for the practice, they are responsible for maintaining high standards of service and operational excellence.

The annual base salary range is $45,000 to $55,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.

 

Job Responsibilities

  • Promote a patient-first culture by ensuring every interaction is courteous, professional, and empathetic
  • Respond to patient concerns and feedback promptly to maintain satisfaction and trust
  • Maintain a clean, organized, and safe office space
  • Coordinate timely resolution of facility maintenance and repair needs
  • Supervise and support front desk and administrative staff, fostering teamwork and accountability
  • Guide onboarding and training for new hires to ensure consistency and quality
  • Serve as the central liaison for internal communications and practice coordination
  • Implement process improvements to enhance scheduling efficiency and patient flow
  • Monitor and ensure accurate collection of copays, outstanding balances, and product payments
  • Oversee insurance eligibility checks and authorization processes
  • Address billing inquiries and assist patients in understanding their financial responsibilities
  • Track and manage staff timesheets to control overtime and labor costs
  • Ensure adequate staffing coverage based on provider schedules and patient volume
  • Manage inventory levels and supply ordering to support uninterrupted operations
  • Encourage utilization of available ancillary services and products within the practice
  • Welcome patients warmly upon arrival and ensure a smooth check-in and check-out process
  • Accurately enter and update patient information in the EMR system
  • Confirm appointments and follow-up visits, adjusting schedules as needed
  • Answer phone calls and emails professionally, providing timely and compassionate responses
  • Process and scan documentation into patient records with precision and confidentiality
  • Run end-of-day reports to reconcile transactions and ensure data integrity

 

Job Requirements

  • High school diploma or GED required
  • Minimum of 3 years’ experience in a medical office setting, preferably in a supervisory role
  • Strong multitasking and organizational abilities
  • Excellent communication and interpersonal skills
  • Calm and composed under pressure
  • Detail-oriented with a commitment to accuracy
  • Team-oriented with a proactive approach to problem-solving
