About the Opportunity
Our client, a prestigious financial services firm based in Manhattan, is seeking a highly professional and detail-oriented Finance Executive Assistant to provide comprehensive administrative support to senior investment executives. This role is critical in ensuring seamless day-to-day operations through proactive calendar management, complex meeting coordination, and high-level organizational support.
In this role, the Finance Executive Assistant will manage busy and ever-changing calendars, coordinate domestic and international travel arrangements, and oversee the timely preparation and submission of expense reports. The position also involves tracking follow-ups, maintaining investor databases, contact lists, and CRM records, as well as preparing, proofreading, and formatting investor-facing materials such as presentations, meeting briefs, and call scripts. This role requires strong judgment, excellent communication skills, and the ability to manage multiple priorities in a fast-paced financial services environment while supporting ad-hoc projects as needed.
The annual base salary range is $110,000 to $135,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Job Responsibilities
- Lead month-end close process, including completing a NAV package with all the relevant supporting documentation, calculating performance figures, assisting with corporate and regulation S-X reporting.
- Review quarterly SEC filings (10Q/10K) and financial statements.
- Work on various model and review expenses analysis and other projections.
- Lead discussion with various vendors and third-party providers of services including sub-administrators, custodians, transfer agents and valuation firms.
- Identify and analyze daily cash activity for various fund entities and coordinate with administrator and the deal team for activities.
- Verify portfolio pricing to internal model and third-party sources. Supervision of third-party valuation firms on quarterly valuation process.
- Assist the Senior Controllers and CFO with special projects and ad hoc requests as needed
Job Requirements
- College degree with a competitive GPA and demonstrated math or analytical ability
- 4-8 years relevant (portfolio and partnership accounting) work experience
