About the Opportunity
Our client, a New York City-based financial services firm, is seeking an experienced Executive Assistant to provide high-level administrative support to a small group of senior executives. This role is ideal for a polished professional with strong financial services experience who thrives in a detail-oriented, hands-on environment and enjoys being deeply embedded in the day-to-day operations of a growing firm.
The estimated base salary range is $100,000 to $125,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Job Responsibilities
- Oversee and manage the day-to-day scheduling needs of senior executives, coordinating meetings and calls while keeping calendars running smoothly
- Prepare and organize materials required for meetings, presentations, and internal discussions
- Review, submit, and track expense reports, ensuring accuracy, proper documentation, and timely processing
- Arrange comprehensive travel logistics, including airfare, ground transportation, and lodging
- Act as a liaison with external service providers by coordinating services, reviewing billing, and ensuring costs align with approved budgets
- Support office facilities operations, including building access coordination and communication with property management
- Maintain structured and well-organized digital filing systems and shared documentation
- Compile, update, and distribute recurring executive and team communications and materials
- Track deal activity and progress within internal pipeline systems, generate reports, and monitor new investment presentations
- Provide administrative assistance to compliance-related functions, including upkeep of internal reports and records
- Manage ordering and coordination for office supplies and technology-related needs
- Plan and support firmwide and team events, including internal gatherings and large-scale meetings
- Assist with recruitment logistics, including interview scheduling and coordination
- Support onboarding processes for new hires, ensuring a smooth start and proper documentation
- Assist with administrative and documentation needs related to portfolio companies
- Oversee pantry and office supply inventory, including ordering, stocking, and organization
Job Requirements
- 6+ years experience in an EA role, preferably within financial services or a professional services environment
- Bachelor’s degree
- Experience supporting a small group of senior executives simultaneously
- Strong organizational skills with exceptional attention to detail
- Ability to handle confidential information with professionalism and discretion
