About the Opportunity
Our client is a prestigious financial services firm in Manhattan seeking a resourceful and exceptionally organized Executive Personal Assistant to support a senior executive in both professional and personal matters. This trusted right hand will manage complex schedules, coordinate travel, handle confidential communications, and oversee personal errands and household logistics. The ideal candidate is polished, proactive, and thrives in a fast-paced, high-touch environment. This role will be in the office 5 days a week.
The annual base salary range is $100,000 to $250,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Responsibilities
- Provide right-hand support to the CEO, for business and personal needs
- Calendar management and set up of all internal/external meetings; including confirming meeting participants, and distributing/collecting meeting material
- Maintain calendar updates including preparation of travel itineraries/schedules for business trips
- Book all travel, including flights and hotels, and ground transportation adhering to the Firm and Technology divisional policies
- Complete expense reports, ensure expense claims adhere to Firm and Technology divisional policies
- Form a working partnership with other team members. Ensure absence coverage for own area and provide additional support and coverage where needed to other administrative team members
- Confirm meeting attendance and communicate necessary meeting information to attendees
Job Requirements
- 5-20+ years of Executive Assistant experience in Financial Services
- Experience supporting C-Suite/Founder
- Experience with personal assistant responsibilities
- Bachelor’s degree is strongly preferred
