About the Opportunity
Our client, a prestigious financial services firm headquartered in Manhattan, is searching for a resourceful and proactive Investor Relations Assistant to provide pivotal support to their executive team. This role is integral to maintaining the highest standards of organization and client service within a demanding, high-touch environment dedicated to investor communications.
The Investor Relations Assistant will act as the organizational linchpin for top executives – expertly coordinating complex calendars, scheduling meetings and conference calls, and handling all facets of sophisticated domestic and international travel arrangements. This individual will ensure seamless day-to-day operations by efficiently preparing and submitting expense reports, tracking essential follow-ups, and maintaining accurate investor databases, contact lists, and CRM systems. Additionally, the role involves preparing, proofreading, and formatting investor-facing deliverables such as presentations, meeting briefs, and call scripts to the highest standard. The successful candidate will thrive on being one step ahead, demonstrating outstanding attention to detail and discretion, all while strengthening the team’s culture of precision, collaboration, and continuous improvement.
The annual base salary range is $110,000 to $130,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Job Responsibilities
- Maintaining executives’ calendars, scheduling all meetings and conference calls, responding to e-mails and phone calls requesting meetings, resolving meeting conflicts and prioritization issues
- Arranging all aspects of domestic and international travel, keeping executives’ travel profiles up-to-date, managing approvals for any travel, and arranging flights, hotels, and rental cars
- Preparing and submitting all expense reports on a timely basisTrack follow-ups and maintain investor databases, contact lists, and CRM entries
- Prepare, proofread, and format investor-facing materials (presentations, meeting briefs, call scripts, etc.)
Job Requirements
- Bachelor’s degree required
- 4+ years of administrative experience in a corporate, professional services environment
- Strong communications skills
- PowerPoint skills are a plus
- Financial Services experience is preferred
