About the Opportunity
Our client, a prestigious financial services firm in Manhattan, is seeking an accomplished and highly organized Executive Assistant to support the CEO. This trusted professional will play a central role in enabling efficient operations and executive effectiveness at the highest level of the firm.
The Executive Assistant will expertly manage the CEO’s complex calendar, prioritize and coordinate meetings, and resolve scheduling conflicts. This individual will handle all aspects of domestic and international travel arrangements, maintain up-to-date travel profiles, secure necessary approvals, and oversee logistics for flights, accommodations, and transportation. Key responsibilities also include preparing and submitting timely expense reports, editing and updating pitch decks, and supporting the CEO with a range of personal assistant duties and ad hoc projects as required.
The annual base salary range is $150,000 to $225,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Job Responsibilities
- Effective interactions with senior executives
- Maintaining executives’ calendars, scheduling all meetings and conference calls, responding to e-mails and phone calls requesting meetings, resolving meeting conflicts and prioritization issues
- Arranging all aspects of domestic and international travel, keeping executives’ travel profiles up-to-date, managing approvals for any travel, and arranging flights, hotels, and rental cars.
- Preparing and submitting all expense reports on a timely basis
- Editing and updating pitch decks
- Personal assistant duties as assigned
- Ad hoc projects
Job Requirements
- Bachelor’s degree preferred
- 10+ years of administrative experience within financial services.
- Experience with handling heavy volume of complex travel coordination
- Strong communication skills
- PowerPoint skills are a plus
- Financial Services experience is a must
