About the Opportunity
Our client, a prestigious financial services firm in Manhattan, is seeking a polished and highly organized Executive Assistant to support the Investor Relations team. This individual will play a vital role in managing day-to-day administrative and operational needs, ensuring the seamless coordination of executive activities and the delivery of superior support to investor-facing functions.
The Executive Assistant will manage executive calendars, schedule meetings and calls, and handle all domestic and international travel arrangements. Additional responsibilities include submitting expense reports, maintaining investor databases and contact lists, tracking follow-ups, and preparing high-quality investor-facing materials.
The annual base salary range is $110,000 to $160,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.
Job Responsibilities
- Maintaining executives’ calendars, scheduling all meetings and conference calls, responding to e-mails and phone calls requesting meetings, resolving meeting conflicts and prioritization issues
- Arranging all aspects of domestic and international travel, keeping executives’ travel profiles up-to-date, managing approvals for any travel, and arranging flights, hotels, and rental cars
- Preparing and submitting all expense reports on a timely basisTrack follow-ups and maintain investor databases, contact lists, and CRM entries
- Prepare, proofread, and format investor-facing materials (presentations, meeting briefs, call scripts, etc.)
Job Requirements
- Bachelor’s degree required
- 4+ years of administrative experience in a corporate, professional services environment
- Strong communications skills
- PowerPoint skills are a plus
- Financial Services experience is preferred
