Assistant Office Manager

About the Opportunity

An exceptional medical group specializing in providing quality medical care and services to individuals with epilepsy is seeking an assistant office manager to aid in the operation of their busy medical offices in Summit and New Brunswick, NJ. You will be tasked with managing and updating employees’ schedules, ensuring all staff members complete their duties effectively, and communicating with clinicians on various office matters. Individuals with 1 year or more of office management experience, preferably within a healthcare setting, are encouraged to apply directly to this job post. You will be aiding in the operation of a very busy medical office, so those with positive leadership experience and strong organizational skills will be ideal for this setting.

The base pay range for this position is $24 to $26 per hour. The actual compensation offered to the successful candidate may vary from posted hiring range based on geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of the offer. This is a temp-to-perm role; you can gain access to company benefits, paid time off, and more perks once you fully transition!

 

Job Responsibilities

  • Schedule patients for a variety of inpatient/outpatient appointments
  • Answer phones/return voicemails
  • Manage schedules for employees/hospitals/physicians as instructed
  • Add meetings to employee schedules as required
  • Maintain/update staff’s job duties
  • Make sure staff is completing weekly duties and staying up to date with tasks in EMR system
  • Assign and work on EMR tasks
  • Manage inventory/order supplies
  • Ensure work environment stays clean and organized
  • Travel as needed between Summit and New Brunswick offices
  • Listen to and address patient complaints as needed
  • Report employee call outs to managers and HR

 

Job Requirements

  • Language: Fluency in Spanish is preferred but not required
  • Experience: At least 1 year office management experience
  • Workflow: Very busy office space, needs to be a team player and a positive leader
  • Education: bachelor’s degree or higher(preferred)
