Executive Assistant to CEO

About the Opportunity

Our client, a prestigious financial services firm based in Manhattan, is seeking a polished and highly capable Executive Assistant to support their Chief Executive Officer. This individual will play a critical role in enabling the CEO’s daily effectiveness, managing complex priorities in a fast-paced environment while interacting seamlessly with senior executives and key stakeholders across the firm.

The Executive Assistant will manage an active calendar, coordinate extensive domestic and international travel, and handle expense reporting with accuracy and efficiency. Responsibilities include scheduling meetings and resolving conflicts, maintaining up-to-date travel profiles, editing and updating pitch decks, and supporting a range of personal assistant duties and ad hoc projects. The ideal candidate will be a sharp, resourceful professional who brings discretion, strong communication skills, and steady composure to a demanding, high-visibility role.

The annual base salary range is $150,000 to $220,000. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.

 

Job Responsibilities

  • Effective interactions with senior executives
  • Maintaining executives’ calendars, scheduling all meetings and conference calls, responding to e-mails and phone calls requesting meetings, resolving meeting conflicts and prioritization issues
  • Arranging all aspects of domestic and international travel, keeping executives’ travel profiles up-to-date, managing approvals for any travel, and arranging flights, hotels, and rental cars.
  • Preparing and submitting all expense reports on a timely basis
  • Editing and updating pitch decks
  • Personal assistant duties as assigned
  • Ad hoc projects

 

Job Requirements

  • Bachelor’s degree preferred
  • 10+ years of administrative experience within financial services.
  • Prior personal assistant experience is a must
  • Experience with handling heavy volume of complex travel coordination
  • Strong communication skills
  • PowerPoint skills are a plus
  • Financial Services experience is a must
