Grants Manager

About the Opportunity

Our client is an independent nonprofit organization in New York City that is looking to add a Grants Manager to their team! The role reports to the Director of Grants and Contracts, and will lead the administration of their grants and contracts portfolio through the post-award life cycle. This is an excellent contract opportunity with great potential for conversion. The ideal candidate will have the ability to manage multiple projects with sensitive timelines.

The base pay for this position is $60 to $72 per hour. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things. Details about eligibility for bonus compensation (if applicable) will be finalized at the time of offer.

 

Job Responsibilities

  • Collaborate closely with the DOHMH to actively monitor and steer project progress, ensuring the attainment of project objectives
  • Act as a strategic partner to DOHMH program collaborators, assisting with program design, timeline creation, and implementation strategies. Provide training and technical assistance to partners to enhance their capacity
  • Review award notices to confirm the accuracy of awards and fund balances. Recommend actions to ensure adherence to the award notices, including extensions and modifications. Apply and interpret federal, state, and city regulations and compliance requirements
  • Support the mitigation of ongoing project risks by tracking approved and awarded funding. Identify, communicate, and escalate compliance and timeline issues to ensure successful project outcomes
  • Maintain and organize all project files according to established protocols, including comprehensive award and contract documentation and the submission of project deliverables (programmatic, financial, or audit-related). Foster and sustain strong relationships with internal and external partners and stakeholders
  • Oversee the lifecycle of sub-recipient, vendor, and procurement agreements. Advise DOHMH on sub-contract scopes of work and facilitate the execution of sub-contracts. Ensure vendor selection methods, price justifications, and deliverables align with project objectives. Review and approve contract payments, verify allocations, and ensure the submission of appropriate supporting documentation
  • Advise DOHMH and in-house HR on open positions to ensure compliance with funder and contract requirements
  • Monitor expense reports and spending rates to maximize budget potential and prevent overspending. Use budget analysis to address programmatic needs
  • Review all purchase and reimbursement requests for appropriateness and ensure compliance with established administrative and financial policies, procedures, and sound business practices
  • Maintain a calendar for individual grant portfolios and establish timelines for DOHMH partner report submissions. Prepare and coordinate with in-house financial partners to submit financial reports to funding agencies, ensuring all submissions are accurate, timely, and compliant with funder and FPHNYC rules, regulations, documentation requirements, and processes
  • Perform additional duties as assigned

 

Job Requirements

  • Bachelor’s Degree
  • 3+ years of relevant experience
  • Proficiency in Microsoft Suite and Excel
  • Demonstrated experience managing post-award activities
  • Knowledge of laws, principles, rules and policies relating to management of grants, including administrative requirements and cost principles
  • Strong budgeting experience, including ability to review, monitor and analyze budgets and perform expenditure planning a plus
  • Highly organized and systematic, with attention to detail
